Your evidence can include sensitive commercial, institutional and personal information. Record only what the assessment needs, and check each source’s permitted use before uploading or sharing it.
- Access and identity
- Supabase Auth verifies your assessment account and confirmed email. Anyone can register without Hub membership. Project access is checked on the server and separated by account. Shared team workspaces and role-based reviewer access are not included in this release.
- Where records are held
- Project records, saved revisions, attachments and reviews use the assessment site’s Netlify Blobs storage. Supabase provides sign-in; it is not the project database in this release. Authorized hosting administrators may have administrative access.
- Session protection
- Sign-in uses HTTPS and Secure, HttpOnly, SameSite cookies. Account tokens are not stored in project records or browser local storage. Sign-out clears this app’s session cookies. Password recovery revokes refresh sessions in the configured authentication project; existing access tokens can remain valid until expiry. This sign-in screen does not provide SSO or MFA challenges.
- AI processing
- Local checks run on recorded fields. When you request VitaCore, saved assessment fields and source metadata are sent to OpenAI through the assessment service after account ownership and allowance checks. Selected extracted document text is also sent when you give separate permission. Text preparation runs in the assessment service; extracted text and its source hash are retained with your private account records. Unselected files are not sent. The service requests that responses are not stored for later API retrieval. This does not promise zero provider retention; confirm processing and retention terms with Terra Vita before sensitive material is submitted.
- Payments
- Payments are made by bank transfer to Terra Vita Global B.V. The app stores invoice requests, payment references, receipt confirmations and allowances. Only the verified payment administrator can confirm a receipt and activate access. Bank login details and card numbers are not collected.
- Retention and exports
- Saved revisions, attachments and extracted text remain in the site’s storage. Archiving hides a project from the active portfolio; it does not erase it. Duplicate attachment cleanup also hides copies from the active list while preserving originals, historical links and a restore option. No automatic retention schedule or self-service permanent deletion is included. Downloaded reports are separate copies: their access and secure storage are your responsibility.
Deployment assurance: data region, provider agreements, backup restoration, deletion handling and institutional access requirements need confirmation by the operator. This notice describes the implemented controls; it is not a security certification or a claim of regulatory compliance.

Where do I upload documents?
Open an assessment → Evidence register → Project attachments. Upload Excel (.xlsx), Word (.docx) or PDF, up to 4 MB per file. Enter the project description and current phase in Intake & scope.
Can I start with incomplete information?
Yes. Start with your project description, the next decision and the sources you have. Record unknowns and assumptions. The tool identifies unresolved conditions; missing evidence does not by itself prove that a project has failed.
Who does which part of the review?
Local checks flag gaps in the recorded information. Optional VitaCore AI review suggests findings and actions. You evaluate those findings against the sources; quoted-text matching alone does not verify truth or relevance. The report records the assessment, while authorised people remain responsible for decisions. A Terra Vita professional review requires a separately agreed scope.
Does AI read every uploaded document?
No. Prepare the text, inspect its coverage and select up to three documents per review. Each extract is limited to 20,000 characters and PDFs to 40 pages. Your permission is required before selected text is sent to OpenAI. Convert older .xls and .doc files first. Scans need searchable text; images, signatures and Excel formulas are not interpreted or recalculated.
Does this include the whole Terra Vita ecosystem?
This is a standalone assessment workspace with optional agriculture/nature, climate/water and coastal/marine scoping questions. It has no automatic connections to FieldTrace, Spatial Intelligence, the IAS Registry or the Finance Spine. Specialist and local requirements still need their own evidence and review.
How do I pay and get access?
Create an account and verify your email; no Hub membership is required. Choose a plan and request an invoice. Pay Terra Vita Global B.V. by bank transfer using the invoice reference. Assessment and AI allowances activate after receipt is confirmed. Professional renews through manual payment, without an automatic debit.
Does the report approve my project?
No. It supports accountable human review. Gate acceptance, funding and implementation need the relevant authority and decision records. Source quotations, review stamps and readiness findings do not verify signatures or grant approval.
Can I share the report?
Download the report or use Print / save PDF. Before distribution, confirm permitted recipients and use with Terra Vita and the evidence owners. An export does not grant rights to share confidential material.
